Authorization management

ABA authorization management software

Track payer authorizations per client and per CPT code, see hours used and remaining from the calendar, and record payer decisions in one place.

Take the 2-minute workflow check

In short

ABA authorization management means tracking each payer approval as dated lines per CPT code (97151, 97152, 97153, 97155, 97156) with units as the source of truth. NeuroOps, built by TWO44, computes completed, scheduled and remaining units from the calendar, supports draft, submitted, pended, approved, partially approved, denied and appealing states, and refuses to enroll a client on an approval without approved hours per code.

The problem

What breaks in these practices

Without

  • Authorization numbers and dates held in spreadsheets.
  • No view of hours used and left per CPT code.
  • Approvals entered without the approved hours.
  • Expired authorizations discovered when a claim bounces.

With TWO44

  • Header and line model. One header per payer approval, one line per CPT code.
  • Lifecycle states. Draft to approved, denied, appealing or voided.
  • Utilization from events. Never cached, so it cannot drift from the schedule.
  • Expiry alerts. Warnings at 60, 30, 14 and 7 days before the end date.
  • Reauthorization workflow. Start the next authorization with prior use pre-filled.

Proof

Work in healthcare

Real practices, real systems. Each case study covers the problem, what we built and the result.

Security

HIPAA-conscious by design

We build with the HIPAA Security Rule in mind. Compliance depends on how your practice operates the system, so we do not claim blanket "HIPAA compliant" status. Here is what we put in place.

Business Associate Agreements

We sign BAAs where we handle PHI for a client, and use hosting and vendors that will sign theirs.

Access controls

Role-based access so staff only see the clients and locations they work with.

Audit logs

Who viewed or changed a record, and when, so you can answer an auditor.

Read the HHS HIPAA Security Rule summary or our HIPAA-conscious cloud hosting for ABA apps.

FAQ

Common questions

Why units instead of hours?

Payers authorize units (1 unit is 15 minutes). Storing units and deriving hours avoids rounding and mismatches with the payer letter.

What happens when a denial arrives?

The reason is stored on the authorization header, and the denied authorization can move to appealing.

Is sensitive data encrypted?

Authorization numbers and notes are encrypted at the application layer, and every PHI access is audit-logged without logging the PHI itself.
